Getting your money back out of a trade show

Written for whoever has to justify the trip, which is usually not the person who benefits most from it.

Go with one question, not a general interest. "Which of these three phone systems actually integrates with our practice management software" is a question a floor can answer in an afternoon. "Learning about technology" is not, and it is much harder to write up afterwards.

Book vendor conversations before you fly. The people you most want to talk to are booked solid by the time the doors open. An email two weeks out turns a queue into a scheduled meeting, and it is the single highest-return thing you can do before a show.

Send the front desk, not only the dentist. Roughly a third of inbound calls at dental offices go unanswered, according to call-tracking analyses, and about one in seven appointments is a no-show, according to published no-show research. Both of those are front-desk problems, and the person who works the phones every day evaluates a phone or scheduling product far better than someone who does not.

Prefer the smaller rooms for operations questions. The big exhibit floors are best for comparing vendors quickly. DSO and study-club style events are where people will actually tell you their numbers, which is usually what you came for.

Decide in advance what changes on Monday. One workflow, chosen before you leave, is worth more than a folder of brochures. Put it in the calendar for the week you get back, while the reason still feels urgent.

For office managers and the front desk

The meetings built for the people who run the schedule, the phones and the revenue cycle, rather than for clinicians. If you are the one justifying the trip, these are the easiest to justify.

Major national and regional meetings

The big exhibit floors. Useful when you want to compare a lot of vendors in one place, and generous with CE for the whole team.

DSOs, group practices and the business of dentistry

Growth, operations and multi-site management. Smaller rooms, more candid numbers, and the people who have already solved the problem you are hitting at four locations.

Technology, digital workflows and AI

Where the software and hardware conversations happen. Go with specific questions about your own stack rather than to browse.

Specialty and academic meetings

Deep clinical programmes for a single discipline. Worth it when a specialty is a real part of your production or referral pattern.

International

Worth the flight if you want to see what reaches the US market next, particularly on the equipment side.
